Staff After School Tutoring Letter

For professionals preparing for after school tutoring, it may be necessary to write a staff after school tutoring letter to be distributed to parents of the students participating in the program. Writing this kind of letter is very similar to writing a standard business letter as far as the format of the letter is concerned. The first thing that goes on the page is the letterhead at top center if applicable. If not, start off with the date located two inches from the top of the page in month, day and year format. Double spaced below the date is the sender's name and address. In some cases you would put the recipient's address but in this case you would not because the same letter would be going to numerous parents.

The salutation may be something like Dear Parents. This addresses the parents of the children without the writer of the letter having to modify each letter with each parent's name. Of course if the letter is going out to one parent or only a few parents you may want to personalize the salutation and even include the recipient address in the letter heading area. Rather than a comma beside the salutation, use a colon which is standard business letter format. Also, do not indent your paragraphs. They should be left aligned, single spaced with double spaces in between each paragraph.

The letter should describe in detail what the tutoring program involves, what the child will be taught, the hours the program will take place and the parent's responsibilities. For example if there is a certain time the parent needs to pick up their child this needs to be clearly stated in the letter. If there is bus transportation provided this should also be clearly stated in the letter. After the closing of the letter you should include all applicable contracts which need to be reviewed and signed by the parent of the child receiving the tutoring.

The most important thing when writing a staff after school tutoring letter is to clearly state how the program works, when it takes place and any responsibilities of the parent. You may also want to include the benefits of such a program. Tutoring can help children get a better grasp on subjects in which they are doing poorly, or help already good students become even better and attain mastery of one or more subjects. Older students can benefit from college prep tutoring which gets them ready for the exams and procedures associated with the college application and admission process.
